(De)Attach a Document to or from a Template

Overview

Various events take place when a template is attached or de-attached from a document.

For information on how to attach/de-attach a template, refer to the Steps section, whereas for information on what various events take place after either process, refer to the Notes section.

Pre-conditions

  • System Level Permission: 'Document Manager', 'System Administration'.
                                           or
  • Document Level Permission: 'Owner'.
  • Document is not in the released stage.

Steps

Attach or Detach a Document to or from a Template:

  1. Find the document on the Documents dashboard.
  2. Click on the three dot icon on the far right of the document.
  3. Select Settings.
    1. Attach:
      1. Under Relate the document to choose the template.
      2. Click Save.
      3. Click Attach*.
    2. Detach:
      1. Under Relate the document, click Detach from Template*.
      2. Click Save.
      3. Click Detach*.

Notes

Once a template is attached:

  • Template enforcement starts immediately.
  • All locked paragraphs are placed at the end of the document. The re-attaching of the same template does not lock existing paragraphs, just one more time (delete) adds locked paragraphs from the template to the document.
  • The document's stage deadlines are calculated immediately, using the attachment's date in the deadline calculation of each template-derived stage.
  • The template will become available at least as read-released to all document owners.
  • The attachment of the template will appear in the audit trail under the Document Activity tab.
  • The newly attached document will appear in the template document list as if it has been created from the template.
  • Existing document content, formatting and relations like data connectionstags or categories are not affected.
  • If the document used different screens (metadata field filters) for its layouts, the layouts' screens used in the template will be set automatically and cannot be changed on the document level, only on the template level.
    • Care has to be taken when changing layout configuration on the template, as it would affect all documents associated to the template, not just the 1 document originally looked at.

Once a template is detached:

  • all locked paragraphs should be unlocked.
  • stages and layout configuration will be detached from the template.
  • mandatory stage approvers will be removed.
  • document content, formatting and relations like data connectionstags or categories are not affected.
  • the action will appear in the audit trail under the Document Activity tab.

Archived Template 

  • Documents can not be detached from an archived template.

Document Relations

  • If the document is in the Released stage, then the attached template does not show in the Document's Settings.
    • That does not mean the template is not attached, it is simply hidden from view until the document is back in draft again.
