Overview
After a document is published with access granted to either all of the Policy Portal users or only a restricted set of them, you can adjust the access settings.
If only a restricted set of users are to access the document, ensure that they receive the appropriate document role.

Additionally, to help you in your general identification of published documents that need their access reconfigured, you can view the document level access of each document in your search results (Table view).
Pre-conditions
- System Level Permissions (any): 'Portal publisher', 'Portal manager'
Steps
- Click on the grid icon in the top pane.
- Select Policy Portal.
- Go to the Documents tab in the top pane.
- Search and click on the relevant document.
- Click on Users in the top pane:
- To make it available to everyone on the Policy Portal:
- Toggle on Show to everyone in the portal.
- (Optional): To allow certain users/user groups to answer any questions asked, search and select them.
- (Optional): To remove any users/user groups, click X next to them.
- To make it available to only certain users and/or user groups:
- Search and select a user/user group.
- Select their role.
- (Optional): To remove any users/user groups, click X next to them.
- To make it available to no one on the Policy Portal:
- Toggle off Show to everyone in the portal.
- Remove individual access from any listed user/user group by clicking X next to them.
- To make it available to everyone on the Policy Portal:
- Click Save.
Notes
Alternative Un-publishing Method
- If a document is archived on the Policy Management module, any corresponding Portal version(s) are hidden from all Portal users.
