      Permanently Delete Documents from the Platform

      Overview

      To permanently delete a document from the platform, you can submit a request ticket to our Support team here or to your Customer Success Manager with the document ID(s), which can be copied from the browser URL when inside the document (you might need to restore it if it is archived so as to open it).

      This can help your side in complying with your data retention policies and improve data security, as well as practically clearing your document dashboard of unneeded documents.


      It may be useful to know that archiving is not the same as a permanent deletion, as the document still remains in the system, just that it is in Archived collection available for restoration.

      Lastly, ensure to check out the Notes section further below to better understand the impact of a document's permanent deletion.

      Pre-condition

      • System Level Permission: 'System Administration'

      Notes

      • Permanently deleted documents cannot be recovered.
        Always ensure that critical data is backed up before deleting.
      • Deleted documents will not appear in any reports or search results.
      • All related to this document artefacts will be deleted:
        • Comments
        • Data connections
        • File Attachments
        • Approvals information
        • Document and Paragraph Activity
        • Metadata values
        • Notifications
        • Portal Actions
        • Portal Attestations
        • Portal Q&A
        • Tasks
        • Smart fields
      • All document Versions will be deleted.
        • All content (as well as suggestions) in each version will be deleted.
      • Information about modifications.
      • User Activity report - all records related to this documents.
      • From all Reports, information about this document will be removed.

      Templates and Snippets

      • These cannot be permanently deleted:
        • Templates → due to connections to other documents, template enforcement, locked paragraphs
        • Snippets → due to usage in other documents

      Back-Up Data

      • Back-up data stays unaffected on AWS.

      Modifications

      • When we delete Original documents from the Platform, all of their modifications will be presented as simple documents.
