Overview

There are 2 standpoints from which to review and export an audit log of executions:

  • from an automation rule (source).
  • from the document/template they got executed on (target).

From its Automation Rule

The automation rule can be found on the Automation tab of the document or template where it was created.

In the rule's audit log, all executions across all associated documents can be examined with a summary-level view and a detail-level view.

The following information is displayed in an audit log of any specific automation rule:

  • Summary-Level View:
    • Type.
    • Date - when automation rule was executed.
    • Duration - time it took to complete execution.
    • Status: 
      • Successful - when all actions are completed with 100%.
      • Failed - when 0 actions are completed.
      • Some errors - when actions completed less than 100%.
    • Associated Document - what document this automation rule was executed in.
  • Detail-Level View:
    • Time - when the action started.
    • Name - name of the action (e.g. Send Email).
    • Status:
      • Successful - when action is completed with 100% (for example, sending email to 10 people out of 10).
      • Some errors - when action completed less than 100% (for example, sending an email to 6 people out of 10).
      • Failed when 0 were completed (for example, sending an email to 0 people out of 10).
    • Results - information about the action results.
    • Details - Additional detail for the issues.

From the Document/Template they got executed on

In a document*, all of the executions that targeted it can be viewed in its Executions sub-tab, found within its Automations tab.

So whether a targeting execution originates from an automation rule in the deriving-template, or from the same document itself, it will be listed for review.

The following information is displayed in an executions list of any document/template*:

  • Name: name of the automation rule.
  • Description: description of the automation rule.
  • Time: when the automation rule was executed.
  • Created by: user who created the source automation rule.

Pre-conditions

  • System Level Permission:  'System Administration' or [ 'Manage Automations' + ( 'Edit Documents' or 'Create Documents' or 'Document Manager' )]
  • Document/Template Level Permission: 'Owner'

Steps

Review an Automation Rule's Audit Log

  1. Open the template/document that the automation rule was created in.
  2. Click on the Screenshot 2024-01-29 at 19.47.05 icon in the top pane.
  3. Select the specific automation rule.
  4. Switch to the Audit Log tab.
    1. Optional: Click on More Details to view more information.
    2. Optional: Click on Export Table.*

Review all Executions targeting a document/template

  1. Open the document/template.
  2. Click on the Screenshot 2024-01-29 at 19.47.05 icon in the top pane.
  3. Switch to the Executions sub-tab.
    1. (Optional): Click on Export Table.*

Exports

Both of the audit log and executions exports contain the same columns as the ones configured in their respective views.

Execution sources for Templates

Executions targeted on a template can only be derived from the template itself in the form of a test run.
