View Portal Document Activity

Overview

Document activities provides an overview of all users' actions on the document.

Document activities can be categorized into three types:

  • Viewed;
  • Downloaded;
  • Attested.

Pre-conditions

  • System Level Permission: 'Portal Publisher', 'Portal Manager'.
  • Document Level Permission: 'Read', 'Able to Answer'.

Steps

  1. Click on the grid icon on the right hand side of the dashboard.
  2. Select Policy Portal.
  3. Find the document or use search engine.
  4. Click on the document.
  5. Click on the Activity icon on the right sidebar.
  6. (Optional): Filter document activity*.
  7. (Optional): Export document activity*.

Supplementary Information

Users are able to download a copy of the document activity in the CSV format. The amount of data depends on the amount of filters applied.

  1. Click on the Activity icon on the right sidebar.
  2. Click on the Export button on the top right side.

 

Users can use multiple filters to sort document activities.

Filter by Activity

  1. Click Everything on the right side.
  2. Select ViewedDownloaded or Attested or all options.

 

Filter by Users 

  1. Click By all users on the right side.
  2. Type user's name.
  3. Select a user from the dropdown list.

 

 Filter by Date

  1. Click Any Date on the right side.
  2. (Optional): Select Last monthSix months or One year.
  3. (Optional): Click on Exact and select ExactAfterBefore or Between.
  4. (Optional): Click on Date and select a date or click Today
  5. Click Apply.

Notes

  • The applied filter(s) will remain selected even if users minimize the sidebar. The filter(s) will only reset when the web page is refreshed or filters manually removed by a user.
