Overview
Document activities provides an overview of all users' actions on the document.
Document activities can be categorized into three types:
- Viewed;
- Downloaded;
- Attested.
Pre-conditions
- System Level Permission: 'Portal Publisher', 'Portal Manager'.
- Document Level Permission: 'Read', 'Able to Answer'.
Steps
- Click on the grid icon on the right hand side of the dashboard.
- Select Policy Portal.
- Find the document or use search engine.
- Click on the document.
- Click on the Activity icon on the right sidebar.
- (Optional): Filter document activity*.
- (Optional): Export document activity*.
Supplementary Information
Users are able to download a copy of the document activity in the CSV format. The amount of data depends on the amount of filters applied.
- Click on the Activity icon on the right sidebar.
- Click on the Export button on the top right side.
Users can use multiple filters to sort document activities.
Filter by Activity
- Click Everything on the right side.
- Select Viewed, Downloaded or Attested or all options.
Filter by Users
- Click By all users on the right side.
- Type user's name.
- Select a user from the dropdown list.
Filter by Date
- Click Any Date on the right side.
- (Optional): Select Last month, Six months or One year.
- (Optional): Click on Exact and select Exact, After, Before or Between.
- (Optional): Click on Date and select a date or click Today.
- Click Apply.
Notes
- The applied filter(s) will remain selected even if users minimize the sidebar. The filter(s) will only reset when the web page is refreshed or filters manually removed by a user.
