  • System Level Permission: 'Portal Publisher', 'Portal Manager', 'Portal User' (document role needs to be able to answer)
  • Platform Configuration: The Questions and Answers feature is enabled

Overview

Finding Documents with Questions

After the document was published, employees can leave their questions and comments on the published document in which you can answer in your Questions tab in Policy Portal.

On this page, you can narrow down for specific documents through the following features:

  • Search query:
    • In titles or In titles & content
    • Advanced text search :
      • And exact phrase
      • And all of these words
      • And any of these words
      • And none of these words
  • Search filters:
    • A system metadata field - e.g. Publication Date
    • A custom metadata field - e.g. Head of Department
    • Tags: Labels used to organized documents by a particular theme set by your administrators
  • Categories: A hierarchy that organizes your company's published documents.

Answering a Question

After finding a document to answer questions for, click on it and you'll be brought to its document page.

Once there, simply switch to the Questions tab in the right sidebar and you'll see all the questions submitted for the document.

You can click Reply on any question and it will bring up the thread for context on what has been discussed so far, and here you can add to the conversation.

Notes

  • Questions and answers cannot be edited nor deleted.
  • Questions cannot be resolved - this is in case someone needs to make further comments/questions on a thread.
