Overview

Paragraphs with embedded files are managed in the same way as any other document in Clausematch. It is possible to:

  • Rename the embedded file;
  • Copy paragraph link;
  • Toggle numbering;
  • Add tag;
  • Download the file;
  • Delete the file.

Pre-conditions

  • Document Level Permission: 'Owner', 'Editor'.
  • Your browser is up to date.

Steps

Insert Embedded File:

  1. Click on the paragraph where the file should be added.
  2. Open the Insert from the menu bar.
  3. Click File.
  4. Choose a file to upload*.
  5. Click Open.

Rename Embedded File:

  1. Click on the drop-down arrow on the left hand side to access the paragraph menu.
  2. Click on Rename file.
  3. Update file name.
  4. Click Save.

Download Embedded File:

  1. Click on the download icon on the right hand side.

Delete Embedded File:

  1. Click on the bin icon on the right hand side.
  2. Click Archive to permanently delete the file or Restore to cancel the deletion.

Supplementary Information

Search for Embedded Files

  1. Click on search menu from the landing page.
  2. Type name of the embedded file.

Search results will populate the non-conforming document along with the embedded file.

 

Search for Embedded Files within Document

  1. Click on Table of Contents on the left hand side.
  2. Click on Embedded file icon to see all embedded files within the document.

 

Exporting Documents with Embedded Files

All the documents can be exported in DOCX and PDF formats. The embedded files will be highlighted. Users can download the embedded files from DOCX and PDF documents.

  1. Click on File from the menu bar.
  2. Click on Export to PDF or Export to DOCX.

Notes

  • The following types of files are accepted:
    • MS Word documents (DOC, DOCX) - will be marked as Document.
    • MS Excel documents (XLS, XLSX) - will be marked as Table.
    • MS PowerPoint presentations (PPT, PPTX) - will be marked as Slides.
    • PDF documents - will marked as PDF.
