Overview
Smart fields can be used to contain information that needs to be easily updated throughout the multiple mentions of said information across the document.
For example, a standard contract template needs to be updated with the client name (e.g. Clausematch) that appears several times across the template.
To easily accommodate this, a smart field can be created with label name 'Client name' and value set as 'Clausematch'.
Smart fields can be inserted into:
- documents
- templates
- snippets
- modifications
Pre-conditions
- Document Level Permission: 'Owner', 'Editor'.
Steps
Create Smart Field:
- Click Insert from the menu bar.
- Select Smart field.
- Select Create Smart Field.
- Set label (what the smart field is for), value (text the smart field should display) and description.
- Click Create.
Insert Smart Field:
- Click Insert from the menu bar.
- Select Smart field.
- Select smart field from the dropdown list.
- Select Insert.
Edit Smart Field:
- Click Insert from the menu bar.
- Select Smart field.
- Select smart field from the dropdown list.
- Select Edit*.
- Edit Label, Value or Description.
- Click Update.
Delete Smart Field from Text:
- Click on the smart field text within the paragraph.
- Click Delete on keyboard.
Notes
- If smart field value is updated, it will be changed throughout the whole document.
- It is not possible to permanently remove smart fields from the document's smart field library.
- If a smart field is created in content container A (e.g. snippet, template, etc...), and that content container is released and then used by content container B (e.g. a released snippet is used by a document), content container B's smart field list will include content container A's smart field.
So, in content container B, that smart field can be edited as well as inserted.- Editing the smart field in content container B does not edit the smart field in content container A.
