Overview

Find more information on how to create or upload a template in Clausematch.

Pre-conditions

  • System Level Permission: 'Create Templates', 'System Administration'.

Steps

Create a New Template:
  1. Click +New button in the top-right corner of the dashboard.
  2. Select Create from scratch.
  3. Select As Template.
  4. Select any Document Type*:
    • Control;
    • Obligation;
    • Policy (default value);
    • Procedure;
    • Regulation;
    • Other;
  5. Enter template title.
  6. Enter the template's version number.
  7. Select the template's language* (English(UK) is set by default).
  8. Click Create.
  9. Select a category to map the template to and tick the box next to the category*.
  10. Click Continue.
  11. Set template's stages*.
  12. Click Continue.
  13. Select screens (metadata field filters) for the document layout(s)*:
    • (Optional): Add or remove layouts by clicking on Add layout or X next to the optional layout's screen. 
      • Document Actions or States:
        1. On Creation
        2. Published on Portal
      • Layout for document stages:
        1. Draft
        2. Release
        3. Custom stages (that users created in Templates)
  14. Click Complete.

 

Upload File as a Template:

  1. Click +New button in the top-right corner of the dashboard.
  2. Select Upload DOCX.
  3. Select As Template.
  4. Select any Document Type*:
    • Control;
    • Obligation;
    • Policy (default value);
    • Procedure;
    • Regulation;
    • Other;
  5. Click Select files to upload*.
  6. Select one or more files to upload.
  7. Enter the template's version number.
  8. Select the template's language* (English(UK) is set by default).
  9. Click Create.
  10. Select a category to map the template to and tick the box next to the category*.
  11. Click Continue.
  12. Set template's stages*.
  13. Click Continue.
  14. Select screens (metadata field filters) for the document layout(s)*:
    • (Optional): Add or remove layouts by clicking on Add layout or X next to the optional layout's screen. 
      • Document Actions or States:
        1. On Creation
        2. Published on Portal
      • Layout for document stages:
        1. Draft
        2. Release
        3. Custom stages (that users created in Templates)
  15. Click Complete*.

Notes

  • Only files in .docx format can be uploaded.
  • The settings will apply to all documents created from the template.
  • Documents created or uploaded with this template will have inherit the template's paragraphs.
    • By default, the inherited document paragraphs will have applied the platform's general text styles (this can vary, if unsure please reach out to your Customer Success Manager as they can confirm that information).
      They will not have applied their corresponding template paragraphs' direct text styles.

      A way to override the default is if the template is set to enforce its text styles.

      Whatever the initial automatic application is, document owners/editors can still manually change any unlocked paragraph's text styles.
  • All templates belong to the Templates category by default.

  • For documents created from the template it is possible to:
    • lock down some paragraphs to ensure newly created documents have the same structure;
    • edit document stages to ensure newly created documents will need to go through the same workflow.
  • Selected language(s) determine which dictionaries will get used in the document's spell-check.
  • This locks these layouts for the documents this template is attached to.
    • This means that for an associated document, if any of its layouts are to have different screens, the attached template's layouts need to be changed.
      • Consideration has to be made for all other associated documents of the template, as they too would have their layouts changed accordingly.
  • The Document Type cannot be changed after creation/uploading.
  • The ability to select a Document Type for documents, templates, snippets, modifications, and clones, is a feature that must be enabled for the instance, to request this to be enabled please contact Clausematch Support at support@clausematch.com.
    • For any document, template, snippet, and modification that existed before the enabling of this feature, their Document Type will be Policy.
  • There is 1 way to change a template's Document Type after creation:
    • After it is changed, documents it was already attached to would not receive the change.
    • Submitting a ticket to support at support@clausematch.com with the following information:
      • Template ID (found in the browser URL when inside the template).
      • Document Type to change to:
        • Control
        • Obligation
        • Policy
        • Procedure
        • Regulation
        • Other
