Overview

This feature is used to enforce the amendments made to a template into the documents created from the template.


Find more information on how to move a released template in to the draft mode, where amendments can be made, after which the template is put back in to the released mode, where the amendments are enforced onto the documents.

Pre-conditions

  • Document Level Permission: 'Owner'.

Steps

  1. Draft the Template:
    1. Open the template.
    2. Click Move to Draft.
    3. Select Draft (or any stage before the last stage - Release).
    4. Select Minor or Major template version number.
    5. Click Move to Stage.
    6. (Optional): Add a note.
    7. Click Confirm.
  2. Make edits to the template.
  3. Release the Template:
    1. Click Move to Stage.
    2. Select Release (or the last stage) in the pop-up menu*.
    3. (Optional): Update template title.
    4. (Optional): Update template version number.
    5. Click Continue.
    6. (Optional): Add to categories.
    7. Click Complete.
    8. (Optional): Add a note.
    9. Click Confirm.

Supplementary Information

Text Styles

One amendment that is reflected through template release is its general text styles.

Notes

  • A notification will pop up for any documents created or attached from/to the template. When document users open their documents, the notification will inform that the template was modified and all of the amendments have now been applied to the document.

  • Changes made in templates do not affect published documents. The changes will only apply to the documents in Draft stage.

  • When a locked paragraph is:

    • Edited in the template, paragraph content is updated in all the documents currently in Draft stage and all newly created documents and versions;
    • Deleted in the template, paragraphs are unlocked and archived in all the documents currently in Draft stage. Newly created documents and versions will not contain the deleted paragraph;
    • Moved in the template, nothing happens to the paragraphs in the documents;
    • Created in the template, the locked paragraph is created in the document. The paragraph will be created at the bottom of the document and it will need to be moved to the correct location.
  • When a template has been updated with any changes:
    • Document owners who created documents from a template will receive an email notification;
    • Document owners who are in process of drafting a document created from the template will get a pop-up message when they open the document notifying them that the template has changed.
  • Layout reconfigurations are enforced onto associated documents.
