Export Document to DOCX or PDF

Overview

Find more information on how to export a document to DOCX or PDF formats in Clausematch.

A document can be exported by itself, or in bulk* with others from the document dashboard.

Pre-conditions

  • Document Level Permissions: 'Owner', 'Editor', 'Reviewer'
  • System Level Permission: 'Create Documents', 'Edit Documents', 'Document Manager', 'System Administration'

Steps

Export Document to PDF:

  1. Click File from the menubar.
  2. Select Export to PDF.
  3. Choose document version (the current version is set by default).
  4. (Optional): Tick the box for the Include paragraphs pending deletion (in strike-through)*.
  5. (Optional): Untick the box for the Include Table of Contents (this is ticked by default)*.
  6. Click Export*.

Export Document to DOCX:

  1. Click File from the menubar.
  2. Select Export to DOCX.
  3. Choose document version (the current version is set by default).
  4. (Optional): Tick the box for the Include paragraphs pending deletion (in strike-through)*.
  5. (Optional): Untick the box for the Include Table of Contents (this is ticked by default)*.
  6. (Optional): Tick the box for the Include Comments*.
  7. (Optional): Select one of the previous versions to compare the current version with.
  8. Click Export*.

Bulk Export Documents (zip):

  1. Go to the Document Dashboard.
  2. Tick all the relevant documents.
  3. Click the Export drop-down menu at the bottom.
  4. Click any of the DOCX or PDF options.
  5. (Optional): Configure export settings.
  6. Click Export.

Supplementary Information

Tick the box for the Include paragraphs pending deletion (in strike-through) to export a document with pending deletions (paragraphs that have been deleted but haven't yet been archived and they will appear in strike-through).

Untick the box for the Include Table of Contents to export a document without a Table of Contents.

Tick the box for the Include Comments to export a document with comments.

 

Any inserted metadata tables will fully display the metadata field and values that are contained within the default layout of the document*.

Bulk Export

The export will be archived in your Notification Centre (bell icon), with the filename formatted with the number of documents selected as well as the date and time of export.

  • Example: “Export - 1 PDF documents - November 02, 2023 at 15-48”

Notes

  • Users can also view the old document version and compare it to the current one.
  • Every time an amendment is made to a specific layout, that amendment is reflected real-time into the exports run while in the stage selected by the specific layout.
    • An amendment is:
      • Change of which screen is used.
      • Change of what fields are included/excluded in the screen.
      • Change of the value(s) in 1 or more metadata field(s) in the screen.

Bulk Export

  • Only the latest versions can be exported.
  • Recommended max number of documents to export at the same time: 150 document.
  • Read Released configurations that do not allow exporting documents will be ignored.
    • This means document users with the Read Released role will be able to bulk export to DOCX or PDF documents they have access to.
  • If any documents had errors, they would be listed in the archived export.
  • The zip file in the Notification Center (bell icon) will be accessible for 1 day.
