Overview

When unstructured MS Word documents are uploaded, the documents are transformed into structured Clausematch paragraphs. Paragraphs are organised into levels that define document numbering and structure. 

After an upload is completed, there are a few adjustments to be made as per steps below.

Pre-conditions

  • System Level Permission: 'Create Documents', 'System Administration'.

Steps

  1. Upload a document choosing the correct template (if document has to originate from a template).
  2. View or change the document version and name.
  3. View or change the document metadata.
  4. View or edit information on the document stages.
  5. Set the numbering and heading settings in the document.
  6. Go to the bottom of the document. If the document is associated with a template, the locked paragraphs from the template have been added to the document as a part of the template enforcement. Move the locked paragraphs up and place them where they need to be placed in the document.
  7. Toggle the paragraph numbering for all numbered paragraphs. Only the system numbering should be used in the documents. Remove any extra numbers that have been transferred from the source document.
  8. Amend the paragraph levels making sure they are consistent with the paragraph numbering (e.g. paragraph 1 on the level 1 while paragraph 1.1 - on the level 2 and 1.1.1 - on the level 3). The paragraph levels define the document structure and the document numbering.
  9. Add a title page (if required).
  10. Add a header and footer (if required).
  11. Add diagrams* (if required).
  12. Amend the document formatting where necessary (e.g. add headings or remove the heading style, insert page break).
  13. (Optional): Review Table of Contents and check whether document structure, numbering and headings are correct (optional).
  14. (Optional): Export the document as a PDF and DOCX file and review layout.

Supplementary Information

Tableshyperlinksfootnotes and images will be imported.

Visio and Word diagrams, headers and footers will not be imported, so they need to be added manually as per the steps above.

  1. Click on the Insert from the top menu.
  2. Select Image to upload the screenshot of the diagram.
  3. Select the image.
  4. Click Open.

Notes

  • Visio and Word diagrams will not be imported.

Document/Paragraph Activity Timeline

  • The document creator/uploader will automatically be selected by the document/paragraph timeline as the user who created (edited) the paragraphs inherited by the template.
