Overview
There are 2 ways to remove 1 or multiple paragraphs in a document:
- Deleting (soft)
- Archiving (permanent)
Deleting is a temporary way to remove a paragraph from a document, in which the user who deleted the paragraph or even a document owner can decide to restore it if they believe a mistake was made in its soft deletion.
On the other hand, if they truly believe it should be permanently removed, they can archive it*.
Stage Blocker
All paragraphs pending deletion need to either be restored or archived in order for the document to move to any stage, successive or prior.
Pre-conditions
- Document Level Permission: 'Owner', 'Editor' (can only archive paragraphs they deleted)
Steps
- (Optional - Select multiple paragraphs]:
- Range of paragraphs:
- Click top paragraph.
- Hover mouse over bottom paragraph.
- Hold Shift and click.
- Separated paragraphs:
- Hover mouse over a paragraph.
- Hold Ctrl/Cmd and click.
- Repeat.
- Range of paragraphs:
- Hover mouse to the top left corner of the (or any) paragraph.
- Click on the small drop-down arrow to access the paragraph menu.
- Select Delete to remove the paragraph.
- (Optional): Choose Restore to cancel the deletion.*
- For multiple paragraphs selected, click on the paragraph Arrow menu and select Restore.
- (Optional): Choose Archive to confirm the deletion and remove the paragraph permanently*.
- For multiple paragraphs selected, click on the paragraph Arrow menu and select Archive.
Supplementary Information
Undo/Redo Paragraph Deletions
In case any mistakes were believed to be made in terms of paragraphs you've deleted (not to be confused with archiving, which is permanent) across a session on a document, you can undo them with "Ctrl/Cmd + Z", and then again if needed on the same fashion you can redo the paragraph deletions with "Ctrl/Cmd + Y" in case you realized they were indeed correct.
This also applies to creating and moving paragraphs.
Notes
- It is not possible to restore an archived paragraph and this action cannot be undone.
Approval Resets
- Any of the following actions resets a paragraph approval:
- Deleting (not archiving) the corresponding paragraph.
- Changing the content of the corresponding paragraph.
- Archiving the paragraph removes the approval entirely.
- Archiving a paragraph resets any document accepted approvals.
- 'Reverse' actions (such as restoring a deleted paragraph that initially had an accepted approval) does not return the original state of the corresponding approval.
Undo/Redo Paragraph Deletions
- You can revert only your changes.
- You can only revert changes made during the current session; if you reload the page or switch to another document, the undo/redo actions will reset.
- Not available in suggestion mode, where each paragraph has it’s own history.
- Undo/Redo doesn’t work for add/delete snippets.
- Undo/Redo doesn’t work for numbering.
- Undo/Redo works for applying suggestions, but not for restoring suggestions.
