Insert a Metadata Field into the Content

Overview

To streamline the content editing experience, as well as the updating of a document in terms text in it that corresponds to metadata fields and values of the document, there is the ability to insert a metadata field (and consequently its value) into the content of a document.*

Meta in Content

 

This reduces time spent inputting information that was already filled in when a document owner filled out metadata fields for the document.

 

Pre-conditions

  • Document is in an editable stage.
  • Document is in Editing mode, so not Suggesting or Viewing.
  • Document Level Permission: 'Owner', or 'Editor'
  • System Level Permission: 'Create Documents', 'Edit Documents', 'Document Manager', 'Create Templates', 'System Administration'

Steps

  1. Click into the paragraph and into the point of the paragraph that the metadata field is to be inserted into.
  2. Type @.
  3. Select from any metadata field.

Notes

UAT/Beta Availability

This capability will currently only be available in your UAT environment or within our Beta environment

  • For Beta access and details, please contact your Account Manager.
    • Beta environment contains recently developed functionality that is to be included in a nearby Release, and is open to change should there be sufficient feedback for it - it is encouraged to get involved to have your voice heard!
    • It is also an opportunity to test functionality ahead of its deployment to your environment(s) to better prepare for an evolved state of the product.

Template

Apart from documents being able to have metadata fields inserted into their content, also templates can have fields inserted into their content, that would then be inherited into associated* documents.

  • They would be inherited with the same logic that other content of a template would be subjected to:
    • So if the metadata field is within a paragraph that is locked, then it will be inherited onto associated, draft documents.
    • If the metadata field is within a paragraph that is unlocked, then it will be inherited onto documents that get associated to it in the future.
      • Current associated ones will not receive this insertion of the metadata field, so if seen appropriate, lock the paragraph.

Field & Value

  • Only the value shows.
    • If there is no value, then the field name will show, followed by
      • : No Value.

Limitations

  • Multiline text metadata fields cannot be inserted within document content in this iteration.
  • Metadata field changes are not visible in timeline paragraph change events.

General

  • Metadata inserted within document content is styled as plain text and can be searched in the content.
    Changes to metadata values will update their inline display, potentially altering released document content.
    • 🔥 Administrators should review metadata editing permissions (via Metadata Screens) to ensure proper governance.
