Overview
Users and their activities are tracked under the Document Activity tab, which essentially serves as an audit trail of what has transpired across the document's timeline.
Document activities can be filtered by specific events and users, as well as exported in CSV format.
Pre-conditions
- Document Level Permission: 'Owner', 'Editor, 'Reviewer'.
Steps
- Search for the document on the dashboard.
- Click on the document.
- Click on the document activity icon on the right side-bar.
- (Optional): Click Everything and choose from the specific events*.
- (Optional): Click All users and select specific users*.
- (Optional: Click Any Date and select date(s)*.
Supplementary Information
Document activity functionality allows users to monitor all edits, comments and approvals on a document level.
Under the Document Activity tab, click on a paragraph preview to be redirected to the selected paragraph and view detailed changes.
There are different types of events:
- Connections;
- Document comments;
- Document events;
- Metadata value changes;
- Paragraph changes;
- Paragraph comments;
- Paragraph events;
- Snippets;
- Suggestions;
- Tags.
A CSV export can be downloaded* (through the Export button when the Document Activity or Paragraph Activity tab is selected) in which currently the following activities can be displayed:
- Access:
- granted;
- changed;
- updated;
- Document or paragraph approval:
- created;
- approved;
- rejected;
- Stage changed;
- Document comments;
- Document tags;
- Document events (includes document version and document title changes).
Table Edits
- Table content edits are also tracked.*
- Structural changes (e.g. remove cell, widen border) are not tracked.
Notes
- Once filters are selected for the document activities, they will apply even if the sidebar is minimized. The filters will reset when the web page is refreshed.
- Filters applied to the document activities apply to the CSV report as well.
- This table editing tracking only works from the last paragraph versions present in documents when release 2023.4 was deployed to the instance.
Data Connections
- If Document A has an ongoing data connection to a template, and a DOCX file is used to upload Document B that is assigned to that same template, then Document A will automatically have a data connection to Document B created.
- The uploader will be who the system chooses to be behind the automatic data connection creation.
Document created/uploaded with template
- The document creator/uploader will automatically be selected by the timeline as the user who created (edited) the paragraphs inherited by the template.
