⛳ Summary Changes
This release improves user experience by offering enhanced editing flexibility. Users can now adjust content at the paragraph level and utilize snippets whenever needed. Additionally, we've introduced new bulk operations that allow for simultaneous handling of multiple paragraphs, increasing overall efficiency.
We've also implemented bulk metadata management to ensure data consistency.
These updates are designed to streamline the document editing process, making it more intuitive, productive, and organized.
DEPRECATION in existing functionality
- 🔥 [Categories] No more Document-Categories - As on the Portal, now on the Policy Management side, documents will not be presented within the category tree.
- 🔥 [Templates] You will now have a clearer view of your documents as Templates and Snippets will no longer appear in the All Documents tab and other related collections

1. Editor 📄
Policy Management
We enhance the editing experience by introducing unrestricted paragraph level adjustments, multi-paragraph bulk operations, improved template enforcement, streamlined UI elements, and a more efficient document import process. These changes aim to provide you with greater control and efficiency in document editing.
1.1 Adjust Paragraph Level without Restrictions

Now, you can easily move individual or multiple paragraphs to any level, simplifying the process of rearranging your document content. The document level can be easily changed using your keyboard by pressing Tab and Shift+Tab.
Additionally, the limitations for the number of levels have been removed, allowing you to adjust paragraph levels without any restrictions.
Furthermore, you can now use Snippets at any level, offering you greater flexibility in editing.

Use cases
- Efficient alignment of paragraph levels during document uploads

Notes
- In the moving mode, we display labels for heading paragraphs and use different backgrounds to help you view the document's structure. We also improve the visibility of locked paragraphs.

- ‼️ We do any operation with a snippet like it is 1 paragraph on the defined level - where the first snippet paragraphs are placed
- We do not change internal snippet level structure
- Templates
- 🔥 No possibility of changing the Level and Position of the Locked paragraphs that will contradict the structure presented in the Template.
- 🔥 You can lock any paragraph on any Level, regardless of whether the parent paragraph was locked. On Document level - this paragraph will be placed immediately after the nearest next locked paragraph
- Move operation
- ‼️ When adjusting levels for a list of paragraphs with varying levels, all paragraphs will be adjusted based on the new level of the first selected paragraph. Other paragraphs will maintain their relative level distance from the first paragraph. Note: Paragraphs can not be placed beyond level 25 or below level 1.
- ‼️ Change Paragraph Levels: Quickly adjust the hierarchy of your paragraphs by simply using Tab to increase and Shift+Tab to decrease paragraph levels.
- Numbering
- 🔥 We will use an approach similar to Microsoft Word, where numbering depends on the paragraph level and the previous numbered top-level paragraph

We also provide a new Section and Paragraph menus to help you easily find the required actions.

🔥 1.3 Template Enforcement for Locked Paragraphs with New Levels Approach

You can now experience a smoother and more organized workflow with our updated handling of locked paragraphs. Locked paragraphs are now placed directly before the next locked paragraph to maintain a clearer structure. Plus, anytime a new version of template is introduced, you’ll get a detailed list of new locked paragraphs, making it easier for you to review and understand the changes in your documents. This ensures that everything stays in its place and you can focus more on your content rather than layout adjustments.

- Maintain a clean document layout by automatically placing locked paragraphs in order

- The logic for onboarding new documents and assigning new templates remains unchanged. All this locked paragraphs will be placed at the end of the document

1.4 ❇️ Improvements
1.4.1 New Paragraph Menu featuring last editor insights and quick actions like Text Style
In Paragraph menu you can now easily identify the person who last edited a paragraph.
The paragraph menu now includes better options grouping, new quick actions such as Text Style, and additional information about the user who last edited a paragraph.
1.4.2 Easily Access Keyboard Shortcuts
We have added new shortcuts for selection and movement in the Keyboard Shortcuts section and moved this information to the left sidebar for quick access when you're in the Editor or Suggesting modes.
‼️ We'll also show only the relevant and available shortcuts for these modes. For example, in Suggesting mode, we'll hide movement shortcuts since this operation isn't available yet in this mode.
1.4.3 ‼️ Streamline Document Import with No Empty Paragraphs
You can now import documents without any empty paragraphs, ensuring a more seamless upload experience with no unnecessary blanks to correct. This means less time spent on format adjustments and more time focusing on content enhancement.
Use Cases:
- Ensure a continuous flow of text without unintended paragraph breaks during document uploads.
- Save time by avoiding manual correction of paragraph formatting after uploading.
1.4.4 ‼️ Clearer messages for move operations with Locked Paragraphs
We now provide better messaging when you cannot move paragraphs due to TEMPLATE restrictions.
For instance, we'll show indicators when you're moving Locked paragraphs, display warnings if you attempt to change the level of a locked paragraph, and offer more detailed information when you try to modify a locked paragraph's structure in a way that conflicts with the template-level configuration.
1.4.5 Copy All Paragraph Text
You can now easily copy text just by clicking on a paragraph. No more fumbling around with multiple steps to highlight and copy text. This feature streamlines your document review process, making it quicker and hassle-free to gather information you need from documents.

- Quickly copy a paragraph of text with a simple right click on content for efficient content sharing.
- Access and copy necessary information in Preview Mode without additional steps.
- Enhance productivity when editing documents by reducing the number of steps to copy text.

1.5 💢 Overview of changes in UI and Text
- The indication for the paragraph you are working on has been modified. Now it is only highlighted via a colored border. The background was removed to help you work with content without distractions.

Update metadata across multiple documents
⚡️ 2.1 Bulk Update Metadata Using XLSX Files

You can now conveniently update metadata across multiple documents by uploading an XLSX file. Just imagine saving a lot of time and reducing manual errors with this batch update feature! Simply prepare your data in an Excel file and let the platform handle the rest. Don't worry about individual fields causing hiccups; the platform individually processes each metadata field, ensuring the majority of your updates go through seamlessly.
IMPORTANT
- ‼️ Available only for Superadmin and Document Manager
- ‼️ You can't update system metadata fields and multiline text fields
Use cases
- Maintain the consistency and integrity of metadata in your documents:
- Quickly set metadata for newly onboarded documents.
- Quickly update metadata fields across numerous documents by uploading an XLSX file.
- Efficiently manage document-related metadata without manual, one-by-one updates.
- Enjoy error feedback with a color-coded status (Light Red for issues, Light Green for successes).
How to
- Download data using “Export Table” functionality (with selected columns) or “MI report” extraction
- Modify XLSX file with the desired values
- Upload the modified file back to the platform to apply changes
- The platform returns back updated file with status update for each value

🔥 4.1 Flexibly Manage Approval Stages in Your Workflow

Now, you can easily manage various approval stages, breaking free from the previous constraint that a stage could only be mandatory if it had approvals. This newfound flexibility empowers you to make any stage mandatory and still add approvals as needed, enhancing your workflow management experience.
Also, you can specify an optional approver whom Document Owners can remove depending on the context of the changes they are applying.
IMPORTANT
- 🔥 [Approvals] You will be able to customise approval processes, making certain approvals optional and removable at the document level. Also you can add approvals at any stage of the workflow, whether it's mandatory or voluntary.
- ‼️ Handling Disabled Users or Empty Groups: If a user is disabled or a group is empty, they will not be added to the document approvals.
- ‼️ All approvers are added to the document only during the transition to the stage. Therefore, we will add this user only when the document moves to this stage. </aside>
Use cases
- Set up mandatory stages in your workflow, even if no initial assigned approvers exist.
- Define approvals as optional and remove them at the document level if unnecessary.
- Maintain consistent approval stages by locking mandatory settings at the template level while customising at the document level.

5. Document Types ⚙️ BETA
Policy Management
We aim to gather your thoughts and ideas on new capabilities that will enhance the integration and presentation of diverse content in Clausematch, such as Regulations or Controls.
Our goal is to ensure that working with new document types is straightforward, allowing easy navigation between them and access to required information. These capabilities will also help manage the hierarchy of connections, ensuring all necessary types are properly interconnected.

This capability could be Turn On/Off via Platform Configuration
‼️ They are in the Beta phase, so do not apply them to production.

⚡️ 5.1 Create Custom Document Types

You can now manage Document Types directly from a new page in the Admin Panel. This feature allows you to view all document types along with their icons, names, descriptions, creators, creation dates, update dates, and the number of active documents and templates associated with each type. You can also delete or duplicate document types and configure their appearance. When deleting a document type, you have the option to migrate existing documents to another type, ensuring seamless document management.

- Easily create new document types to better organise your document repository.
- Delete unused document types while ensuring no active document is left without a type.
- Migrate documents to new type

5.2 Customise each Document Type's Look and Capabilities

You can now customise the appearance of Document Types by choosing colours and icons from a predefined set. Additionally, you have the option to configure specific capabilities associated with Document Types.
You can make the content of documents non-editable, which will hide editing toolbars, paragraph menus, and other editing functions. Collaboration features such as approvals, comments, and tasks can also be configured to be hidden, streamlining the user experience by removing unnecessary functionalities. These configurations will be helpful for document types such as Regulations and Controls or other read only types, which could be integrated into Clausematch via API — Coming Soon
This enhancement also allows you to turn Document Types On or Off, simplifying your user interface by hiding Document Type options in various areas such as the Admin module, the Document creation process, the Compliance page, and within connections.

By choosing and arranging the displayed metadata, you can improve your user’s ability to access important information quickly. Whether you prefer a table format or a list style, you can determine how your data is presented, including the default fields shown in each view.
You can also customise which information will be displayed when users hover over a document with the new Document Card Layout.

🔥 Templates: Hide Templates and Snippets from All Documents and Related Documents Collections
You will now have a clearer view of your documents as Templates and Snippets will no longer appear in the All Documents tab and other related collections. This update ensures that the document counters only reflect the documents in the main view while separate counts for Templates and Snippets remain visible on their dedicated pages.
Use Cases:
- Easily identify and access your Normal documents without the clutter of Templates and Snippets.
- See an accurate count of your Normal documents in the All Documents view.
