Overview
The User Roles Report (in the Policy Management Reports tab) shows all users' information, such as the groups they belong to and system roles they have.
It also contains the inventory of documents that the user has for the corresponding document role:
- Owner
- Editor
- Reviewer
- Viewer
The report can be downloaded in XSLX format and it will contain the following information for each document:
- User ID;
- External User ID;
- First Name;
- Last Name;
- Email;
- Status;
- System Roles;
- User Groups;
- Document Owner;
- Document Editor;
- Document Reviewer;
- Document Viewer.
Pre-conditions
- System Level Permission: 'Report Viewer', 'System Administration'.
Supplementary Information
Custom Report
You can submit a request to Support to have a custom report configured for your platform with specified filters, columns, and permissions needed to view the report.
Notes
- Only the first 365 documents for each user and role are shown in the report.
Document Role Prioritisation
- In case a user has multiple roles in a document (as they can have access on a contemporary basis both individually and through a group), the highest level role is used to determine the user's primary document role, which is then used to determine what role column that user's document populates in.
- From highest to lowest:
- Owner
- Editor
- Reviewer
- Viewer
- This is the role that gets assumed if the user was granted document access through the Invite all access button.
