Overview
Users and their activities for any paragraph are tracked under the Paragraph Activity tab, which essentially serves as an audit trail of what has transpired across the paragraph's timeline.
Pre-conditions
- Document Level Permission: 'Owner', 'Editor, 'Reviewer'.
Steps
View Paragraph Changes:
- Find and click on the document on the dashboard to open it.
- Click on the selected paragraph.
- Click on the paragraph activity icon* on the right hand side.
Compare Document Versions:
- Find the document on the dashboard.
- Click Compare versions* in the upper part of the editor.
- Select older version for comparison.
Supplementary Information
Compare versions functionality allows users to compare the current document version with any of the previously published versions.
Paragraph activity functionality allows users to monitor all edits, comments and approvals on a paragraph level.
- In the Document Activity tab, click on a paragraph preview to be redirected to the selected paragraph and view detailed changes.
- Use the event and user filters to adjust the activities displayed:

- Click Show and select Everything or choose from the specific events:

- Connections;
- Paragraph changes;
- Paragraph comments*;
- Paragraph events*;
- Suggestions;
- Tags.

- Click By and select All users and select specific users.
- Click Any Date and select dates.
Table Edits
- Table content edits are also tracked.*
- Structural changes (e.g. remove cell, widen border) are not tracked.
Paragraph Menu - Quick View of Last Edit Information
If you wish to quickly view who was the last person to edit a particular paragraph and at what date & time (timezone set by your user settings), you can bring up its paragraph menu:
- Hover your mouse over that paragraph.
- Click on the downward arrow button.
Notes
- This table editing tracking only works from the last paragraph versions present in documents when release 2023.4 was deployed to the instance.
Data Connections
- If Document A has an ongoing data connection to a template, and a DOCX file is used to upload Document B that is assigned to that same template, then Document A will automatically have a data connection to Document B created.
- The uploader will be who the system chooses to be behind the automatic data connection creation.
Document created/uploaded with template
- The document creator/uploader will automatically be selected by the timeline as the user who created (edited) the paragraphs inherited by the template.
Comments and Approval Filters
- The comment and approval filters can only be used if the document type of the document has its Approvals and Comments feature enabled.
- The type can be confirmed to the left of the version number and document title.
Contact an administrator if you believe this needs to be changed for comment and/or approval filters.
